Terms of Service

These terms apply to all cleaning services performed by EZ Duct Clean. Please read them before your appointment. If anything here is unclear, call us at (571) 353-9467 and we’ll walk you through it.

1. Acceptance of these terms

You accept these Terms of Service when you do any of the following: book an appointment online or by phone, sign a written estimate or service agreement, or allow our technicians to begin work at your property. These terms, together with your invoice and our 7-Day Make It Right Guarantee, form the complete agreement between you and EZ Duct Clean. Nothing said verbally by a technician or scheduler changes these terms unless we confirm it in writing.

2. Who we are and what we do

EZ Duct Clean is a NADCA-certified duct cleaning company serving Northern Virginia, Washington D.C., and Maryland. We are a cleaning company. We do not perform HVAC repair, duct repair or replacement, mold remediation, asbestos abatement, or any licensed contracting or construction work. If your system needs any of those, we will tell you and refer you out — we do not perform them ourselves.

3. Estimates and pricing

  • Quoted prices cover the systems, vents, and services listed on your estimate or invoice. They do not cover additional HVAC systems, zones, or vents discovered on site.
  • If we find conditions on site that materially change the scope — additional systems, blocked or inaccessible ductwork, heavy contamination, or damage requiring a different approach — we stop, explain it, and give you a revised price before continuing. You may decline and pay only for work already performed.
  • Estimates are valid for 30 days.
  • Payment is due upon completion unless agreed otherwise in writing.

4. How to pay, and our cash discount

We accept Visa, Mastercard, American Express, and Discover, as well as cash, check, Zelle, and Venmo.

Every price we quote or advertise is the credit card price. There is no added fee for paying by card — what you were quoted is what you pay.

If you choose to pay by cash, check, Zelle, or Venmo instead, we apply a 4% discount to the total. This reflects what those payment methods save us in processing costs, and we pass that saving directly to you. The discounted amount appears as a separate line on your invoice.

Example: a $549.99 service is $549.99 paid by credit card, or $527.99 paid by cash, check, Zelle, or Venmo.

  • The discount applies to the service total before any applicable taxes.
  • The discount cannot be combined with promotional pricing unless we state otherwise in writing.
  • If a check or electronic payment is returned unpaid for insufficient funds, or a payment is stopped in bad faith, a $50 processing charge applies, together with legal interest from the date of the payment and any return fee charged to us by our bank, as permitted under Va. Code § 8.01-27.1. This is in addition to the amount you owe for the service.

5. Scheduling, rescheduling, and cancellation

We provide an arrival window, not an exact time. Traffic, weather, and prior jobs can shift it. We call or text if we’re running late.

Rescheduling is always free. If something comes up, move your appointment — there is no fee to reschedule, no matter how close to your appointment time, as long as you tell us before our technician is dispatched to your address. We would rather move you than lose you.

Cancellation. Please give us at least 24 hours’ notice to cancel a confirmed appointment. A confirmed appointment reserves a technician, a vehicle, and a block of time we hold open for you and cannot fill on short notice. If you cancel outright with less than 24 hours’ notice, or our technician arrives and cannot access the property or the HVAC system, a $99.99 scheduling fee applies. This amount reflects our reasonable estimate of the cost of the reserved time and the trip, and is not a penalty.

The scheduling fee does not apply when:

  • You reschedule instead of cancelling.
  • You cancel because of a medical emergency, a death in the family, or a household emergency.
  • Severe weather or unsafe conditions prevent the appointment. We may also reschedule for those reasons at no charge to you.
  • We reschedule or cancel for any reason on our side.

We disclose this fee when you book and in your appointment confirmation. We apply it sparingly and at our discretion.

6. What we need from you

To do the job safely and well, please:

  • Provide clear access to the furnace or air handler, the return vents, and all supply registers.
  • Move fragile, valuable, or breakable items away from vents and work areas before we arrive. We are not responsible for items left in work areas.
  • Secure pets away from the work area for their safety and ours.
  • Ensure electricity and, where applicable, water are on and functional.
  • Provide parking access for our service vehicle within a reasonable distance of the property.
  • Have an adult 18 or older present at the property, or make prior written arrangements with us.
  • Tell us in advance about known issues: asbestos, prior water damage, mold, pest activity, fragile or historic ductwork, or recent renovation.

7. Property condition and pre-existing issues

Duct systems age. Older, brittle, fiberglass-lined, flexible, or previously damaged ductwork can fail during normal, correctly performed cleaning. The same is true of aged registers, grilles, and the drywall or plaster around them.

We document conditions with camera footage before we begin. We are not responsible for pre-existing damage, deterioration, or defects, or for failure of components that were already compromised before our arrival. If we identify a condition that makes cleaning unsafe or likely to cause damage, we stop and discuss it with you before proceeding.

8. Mold, asbestos, and hazardous conditions

If we encounter suspected mold, asbestos-containing material, sewage, or other hazardous conditions, we stop work in the affected area immediately and notify you. We are not licensed for remediation or abatement and will not proceed in that area. You are responsible for engaging an appropriately licensed specialist. You remain responsible for payment for work already completed.

9. Photos, video, and documentation

We photograph and record duct interiors before and after cleaning as part of our standard process and for quality control. We may use these images in our marketing, website, and social media. We never publish your name, street address, or any identifying detail about your household, and we never photograph the interior of your living space beyond the vent openings and equipment area. If you prefer we not use your images at all, tell your technician or email us at info@ezductclean.com and we’ll mark your file accordingly.

10. Communications and text messages

When you give us your phone number, you agree we may contact you by phone, text, and email about your appointment, arrival times, and service follow-up. If you separately opt in to marketing messages, message and data rates may apply, message frequency varies, and you can stop at any time by replying STOP or emailing info@ezductclean.com. Consent to marketing messages is not a condition of purchase. See our Privacy Policy.

11. What we promise, and what we don’t

We promise to perform the contracted cleaning in a workmanlike manner, consistent with the NADCA ACR Standard, using HEPA-filtered equipment and trained technicians.

We make no promise about health, medical, allergy, asthma, or respiratory outcomes. We make no promise about energy bill savings. Any figures we cite from NADCA, the EPA, or the U.S. Department of Energy are published industry data about duct cleaning generally — not a prediction about your home.

Quality of the cleaning itself is covered by our 7-Day Make It Right Guarantee, which is incorporated into these terms. Under that promise, corrective cleaning of the areas you identify is the sole remedy — we do not repeat the full service and no cash refund is provided.

12. Limitation of liability

To the maximum extent permitted by Virginia law, our total liability for any claim arising from our services is limited to the amount you paid for the service in question. We are not liable for indirect, incidental, consequential, or punitive damages, including lost income, loss of use, or displacement costs.

Any claim for property damage must be reported to us within 7 days of the service date, with reasonable opportunity for us to inspect the claimed damage before repair. Nothing in this section limits liability that cannot be limited under Virginia law.

13. Resolving a problem

If something goes wrong, call us first at (571) 353-9467 or email info@ezductclean.com. Most issues are resolved with a phone call and a return visit. We ask that you give us a reasonable opportunity to inspect and correct any issue before pursuing other remedies.

14. Governing law

These terms are governed by the laws of the Commonwealth of Virginia, without regard to conflict of law principles. Any dispute will be brought in the state courts located in Loudoun County, Virginia.

15. General

  • Severability: If any provision is found unenforceable, the rest remains in effect.
  • Changes: We may update these terms. The version in effect on your service date is the version that applies to your service.
  • Assignment: You may not transfer this agreement without our written consent.
  • Entire agreement: These terms, your invoice, and the 7-Day Make It Right Guarantee are the complete agreement and supersede any prior discussions.
